Glossary

A quick reference for the terms you'll see in Droppah, with links to learn more about each one.

Your business

Team

A group of people who share the same roster and clock in at the same place. Some businesses have one team per location. Others split a location into department teams, such as front of house and back of house. People can belong to more than one team.

Learn more: Teams

Work Group

The type of work someone does, such as Bar, Kitchen or Supervisor. Every shift is tagged with a work group, and people can only be rostered on shifts for work groups they belong to. Work groups aren't tied to a single team, so the same work group can be used across all your teams. A work group can also have an overtime ruleset attached.

Learn more: Work Groups

Person

Anyone set up in your Droppah account. A person's record holds their teams, work groups, pay grade, employment start date, max hours per week, weekly availability and time off.

Learn more: People

Pay Grade

The pay rate assigned to a person, used to calculate roster and timesheet costs. A pay grade can have an overtime ruleset attached, so the same overtime rules apply to that person wherever they work.

Learn more: Pay Grades

Weekly Availability

The days and times a person is usually available to work. Droppah won't roster someone outside their availability when pasting a roster plan or filling empty shifts.

Learn more: People

Time Off

Dates when a person is unavailable, such as leave or a one-off day off. Employees can request time off in the Droppah mobile app. Droppah won't roster someone during their time off when pasting a roster plan or filling empty shifts.

User access

Owner

The person who manages your Droppah billing and subscription. The Owner has everything an Admin has, plus billing.

Admin

Full access to every team, person and setting in your account, including pay grades, overtime and integrations. Admins can't manage billing or the subscription.

Learn more: Adding Admins

Team Manager

A person who manages rosters and timesheets for the teams they're assigned to. Whether they can see pay rates and costs is set separately for each manager.

Rostering

Roster

The schedule of shifts for a team, usually viewed one week at a time. You build the roster first, then publish it when it's ready for your staff to see.

Published Roster

A roster you've shared with your staff. Until you publish, only managers and admins can see the roster, so you can make changes freely. Once you publish, employees are notified and can see their shifts in the Droppah mobile app.

Shift

A single block of rostered work, with a start time, end time, work group and assigned person.

Empty Shift

A shift with no one assigned yet. Anyone who can edit the roster can fill it, either by assigning someone manually or by using Fill Empty Shifts. Employees can't pick up empty shifts themselves.

Custom Shift

A shift where you set the times yourself, rather than using a shift template.

Shift Template

A saved set of standard shift times you can reuse when building a roster. Shift templates are optional, but handy if your roster is very consistent from week to week.

Learn more: Shifts

Roster Plan

A saved, reusable pattern of shifts that you can paste onto any week, so you don't have to build the roster from scratch. A roster plan can include both assigned shifts and empty shifts. If someone on the plan can't work a shift that week, Droppah creates it as an empty shift instead.

Learn more: Roster Plans

Stint

One or more shifts worked close together, treated as a single block of work. For example, a lunch shift and a dinner shift with a short gap between them can count as one stint. How close shifts need to be is set by the Stint Gap Tolerance in your rostering settings.

Learn more: Calendar Settings

Roster Warning

A flag on a shift that doesn't meet your rostering settings, such as when someone is rostered for more than their max hours per week. Warnings appear on shifts as you build a roster, and in a summary after you fill empty shifts, paste a roster plan or copy a previous week.

Time and overtime

Clock

A single clock-in to clock-out, recorded when someone clocks in and out on the Droppah Time Clock, including any breaks. Each clock creates a time on the person's timesheet.

Clock History

A permanent record of every clock-in and clock-out, including break times, photos, shift notes and the clock timeline. Clock history stays as it was recorded, even if you edit the timesheet afterwards, so you can always check what actually happened.

Learn more: Clock History

Timesheet

The record of the hours a person actually worked over a week. Once you've checked a timesheet, approve it to send it to PayHero (NZ) or Xero Payroll (AU). If you use a different payroll system, export your timesheets as a CSV and import them there.

Time

A single entry on a timesheet. You'll see this word in some places in Droppah, such as the Add Time button, which adds one entry to a timesheet.

Overtime

Hours paid differently from ordinary hours because an overtime rule applies. Overtime is shown as separate lines on the timesheet, so you can see which rule triggered it.

Learn more: Overtime Rulesets

Overtime Rule

A single condition and how it changes pay. For example, "hours over 38 in a week are paid at 2× the hourly rate" or "time worked before 7am earns an extra $2 per hour".

Learn more: Overtime Rulesets

Overtime Ruleset

A named group of overtime rules that apply together. You attach a ruleset to a pay grade, a work group, or both.

Calendar views

Calendar

Where you build rosters and review timesheets. It has four views.

Learn more: Calendar Views

Roster View

Each day of the week, with staff grouped by work group under it. This is the main view for building your roster.

Learn more: Calendar Views

Resource View

One row per person across the week, so you can see everyone's shifts at a glance and spot gaps or back-to-back stints.

Timesheets View

Actual worked time laid out on the calendar, where you review timesheets before approving them.

Overtime View

Overtime on both the roster and timesheets, so you can see overtime coming before the week starts and check what was actually worked.

Learn more: Calendar Views

Week View / Day View

Switch the calendar between a full week and a single day. Day View shows more hour-by-hour detail.

Options Menu

The menu where you'll find view options and extra actions. What's in it depends on which page you're on.
