Teams help you define groups of employees who are rostered together, or who clock in and out of the same device. Teams will usually represent different departments or physical locations within your business.
If you roster all employees at once or have everyone clocking in and out of a single location you may only have one team.
People must be included in their appropriate teams in order to be rostered, so teams are an essential part of your Droppah workflow. You can add or edit teams via Manage > Teams.
To create a new team, go to Manage > Teams and click New Team.
Add a Team Name, enter an address if desired and specify a Default Work Group.
The Default Work Group will be used for recording time if an employee clocks in when they aren't rostered to work.
Each team can have only one Default Work Group. Employees assigned to alternative roles at the same venue, that aren't rostered to work, will need to manually select their Work Group when clocking in.
Work Groups can also be reused across multiple teams. For example, a "Duty Manager" Work Group can be set as the default for several teams where applicable. If Work Groups are linked to specific payroll items, you may need to create separate Work Groups for each team to align with payroll requirements.
Finally, add the Managers and People you need in each team, then click Save. People can be included in multiple teams.
Linking a Team to your POS
If you've connected a POS integration, each team will show a matching field under Details, either Square Team or Lightspeed Team, depending on which you've integrated with.
This field controls which Location (Square) or Site (Lightspeed) the team pulls its revenue from. When you first sync your integration, Droppah creates teams from your POS Locations or Sites and links them automatically by name. If a team already existed in Droppah before you integrated, or its name doesn't match a POS entity, you may need to set this link manually.
To check or change it:
Go to Manage > Teams and open the team.
Under Details, find the Square Team or Lightspeed Team dropdown.
Select the correct Location or Site.
Click Save.
If a team isn't linked to the correct Location or Site, revenue won't flow through to it, even if your integration is connected and synced. This is a separate link to the Square Employee or Lightspeed Employee dropdown found on individual People, which matches staff records rather than teams.
Budgets
By setting budgets on your teams, Droppah can track your actual labour costs against estimated revenue and expected labour costs. Pop into a team and click the +Set Budget button to begin adding budget information.
The budget section of your team will display the following details:
Revenue - Enter your expected revenue for each day of the week
Actual Revenue (average) - This figure will be automatically calculated based on any actual revenue figures loaded into Droppah for the last 6 weeks, either via the Lightspeed Integration or from manual entry on the Timesheet View
Labour Cost - Enter your budgeted labour cost for each day of the week
Labour % - Your projected labour percentage for each day will be automatically calculated based on the details entered in the Revenue and Labour Cost fields.
Once your budget has been set, you’ll be able to view the rostered and actual cost-to-revenue ratios, as well as how they compare to your projected labour percentages, in the Calendar > Rosters tab via the Daily Summary.
If you've integrated with Lightspeed, revenue details will automatically populate on your rosters and teams as orders are completed throughout the day. See more details here: Lightspeed Integration
Team Views
Companies with multiple teams will be able to choose whether their Time, Live and Calendar views display information for a single team (useful for managing rosters for a particular site, or clocking in at a specific location), or all teams. To switch between all teams or a particular team, simply tap on the current team name to expand the navigation bar:
Archiving Teams
To remove a team you no longer need, click into it and open the options menu in the top right, then click Archive.
To view archived teams, open the options menu in Manage > Teams and toggle on Show Archived Teams. Previously archived teams will display an archive icon next to their name.
To restore an archived team, click Restore.
