The Roster View in the Calendar is where you build each team's roster. If this is your first one, this article takes you through it from the start.
There are three ways to build one: add people day by day, copy a previous week, or paste a roster plan. This article covers all three, plus editing and publishing once you're done.
Build your first roster
Everything starts from the Roster View. If your company has more than one team, use the drop-down in the top right to pick the team you're rostering for.
Click the + button on the first day of your roster period to start adding people. You can change anything later, so nothing here is locked in.
Add people to your roster
Click the + button on the day you're rostering, then choose the Work Group you're adding someone to.
Choose the Work Group you're rostering for.
Pick a preset Shift, or choose Custom Shift to set your own times.
Choose the person you want to add. You can only pick from people available that day, and who belong to the Work Group you selected. Pick empty shift if you aren't sure who will work this shift yet.
Set the shift times and break duration.
Click Save.
A shortcut for the curious 👀
Here's a fun one hiding in the Resources View. Hold Cmd on Mac (or Ctrl on Windows) and drag a shift to create a copy. Droppah copies the whole thing, time, break and work group included.
Drop your copy on the same person on a different day, or hand it to someone else entirely, as long as they are assigned to that work group too.
It's a nice little trick for covering a shift or repeating a pattern without building it from scratch every time.
Faster ways to roster next time
Copy a week or paste a plan
Building day by day isn't the only way. Droppah suggests the options worth using for the week you're on, next to the search bar at the top of the roster.
On an empty week, that's usually Paste plan or Copy last week. On a week that already has shifts, it might be Fill 3 gaps or Save as plan.
The suggestions change as the week changes, so if you don't see the one you want, everything is always available in the options menu
Copy Roster
Copy Roster copies a previous week into your upcoming period, so you can adjust from there instead of starting over.
If anyone can't be brought across, usually because they're unavailable, their shift arrives as an empty shift ready for you to fill.
Full steps: Copying Rosters
Paste Plan
A roster plan is a template you can paste onto a week, so that the shifts arrive ready to go: people who always work a shift come through assigned, and anything you haven't decided yet arrives as an empty shift.
A plan only pastes onto days with no shifts on them.
Full setup and loading steps: Roster Plans
Fill Empty Shifts
If the week has empty shifts on it, Droppah can assign people to them based on availability and your rostering settings.
Full steps: Fill Empty Shifts
Save a week as a plan
Once you've built a week you'd run again, save it as a plan and paste it next time rather than rebuilding it.
Save Roster as Plan… is always in the options menu. Droppah may also suggest the option to Save as plan next to the search bar.
This is the easiest way to create a plan: roster a week the way you want it, save it, then paste it from then on.
Review Empty Shifts
Any shift without a person on it shows as an Empty shift. You'll see a count of how many are on the week, so you can see what's left to fill before you publish.
Empty shifts can't be published, so the rest of the week publishes as normal and the empty shift stays behind until it's filled. See Empty Shifts.
Clearing a roster
Two actions in the options menu, depending on how much you want gone.
Clear Empty Shifts… removes every unassigned shift on the week. Anyone already rostered stays where they are.
Clear Roster… removes everything, including assigned shifts.
Edit and adjust your roster
You can change your roster from either the Roster View or the Resources View.
The Roster View is organised by Work Group. To add an extra person to a Work Group, click the + icon on that Work Group, choose the person, then set their time to work.
To edit or remove an existing person's shift, click on their name. From here you can adjust their Work Group, start and end time, and break.
Next to Rostered End Time, click the eye icon to hide or show the end time for that shift. When hidden, the employee will see 'REQ' instead of a finish time wherever they view the roster.
Use the menu in the top right corner for additional options: Change Person to reassign the shift to someone else, Generate Time (for published shifts that have already passed), or Delete Shift.
Change Person
To reassign a shift to a different person, click the (⋯) menu in the top right corner of the shift modal and select Change Person. You'll see a list of available people to choose from. By default, this shows people from the current team - but you can also pick someone from another team to cover the shift as a rockstar shift.
For more detailed edits, or to add a one-off shift, switch to the Resources View.
Publish your roster
When you're happy with your roster, the last step is to publish it so your team can see it.

Review cost and coverage
The daily summary displayed at the top of your roster allows you to view estimated or actual revenue and labour costs. You can also switch this view to show coverage and cost graphs for each day by toggling on or off the Daily Chart setting seen here:
Daily Summary
If you've set budgets for your team or entered past revenue, the Daily Summary will show the roster cost, your expected or actual revenue, and the labour cost percentage for each day. Learn more here: Revenue & Labour Costs
For a more detailed breakdown, click View Day to see hour-by-hour costs and staff numbers.
Daily Chart
If you've enabled the Daily Chart toggle, you can click on a graph for a particular day to see more detail. Here you can hover your mouse or tap on a particular hour of the day to see total staff rostered and hourly cost for that period. You can also click Compare Dates in the bottom left to choose another date to compare to.
