Roster Warnings

Understand the warnings Droppah shows when a shift doesn't meet your rostering settings, and what to do about each one.

Roster warnings flag shifts that don't meet the rostering settings you've set for your company. You'll see them when Droppah fills empty shifts for you, and when you're building a roster by hand.

After Fill Empty Shifts runs, a summary of any warnings appears at the bottom of the result screen:

You'll also see a warning icon on each shift the warning(s) apply to, and you can click into a shift for more details about the warning. See below for further information about different types of warnings.

Exceeded the weekly maximum hours for this person

This warning means the employee has been rostered on for shifts that will exceed the Max Hours Per Week setting that has been applied to their record.

It's a good idea to ensure the max hours setting is set correctly for each of your employees via the People tab. Note that if you update this setting for any employees who are displaying this warning in the roster, you can open and Save one of their roster entries and Droppah will reassess the warnings for that employee.

A person on your roster plan couldn't be rostered

When you paste a roster plan, or copy a previous week, someone on it may not be able to work that shift. Rather than dropping the shift, Droppah creates it as an empty shift so your week isn't quietly short.

These are listed in the result screen when the paste or copy finishes, with the date, the shift and the reason. The reason will be one of the following:

  • Person is not available as they are archived - The employee has been archived since they were added to the plan.

    • If they're no longer with you, remove them from the roster plan so this stops happening. You can assign someone else to the empty shift, or leave it for Fill Empty Shifts.

    • If they were archived by mistake, restore them via the People tab, then assign them to the empty shift.

  • Person is not available as they do not belong to this team - The employee hasn't been added to the Team you've loaded the roster for.

    • Check you're rostering for the right team.

    • If they should be in that team, add them via Manage > Teams or their record in the People tab, then assign them to the empty shift.

    • If they've genuinely left that team, remove them from the roster plan so this stops happening.

  • Person is not available as their employment has not started - The shift falls prior to the employee's Employment Start Date.

    • Check their start date on their record in the People tab.

    • If the date was wrong, correct it and assign them to the empty shift.

    • If they simply haven't started yet, no action needed. Assign someone else to the shift or leave it empty.

  • Person is not available as they do not have this work group - The person no longer has the Work Group the shift needs.

    • If they should still have it, add it via Manage > Work Groups or their record in the People tab, then assign them to the empty shift.

    • If they no longer work that work group, either put someone else on that shift in your roster plan or leave it as an empty shift.

  • Person is not available as the shift conflicts with their weekly availability - The person's Weekly Availability says they don't work at that time.

    • Ensure their Weekly Availability is set correctly via the People tab.

    • If you make any changes to their availability, you can then manually add the person to the shift, and remove the person who was rostered in their place.

    • If their availability is correct, consider leaving that shift empty in your roster plan so it can be filled by whoever is available that week.

  • Person is not available as the shift conflicts with their unavailable dates - The person has Time Off booked at that time.

    • You can ensure their time off dates are set correctly via their record in the People tab.

    • If you change them, assign them to the empty shift.

    • Otherwise this is a one-off. Assign someone else, or leave it for Fill Empty Shifts.

  • Person is not available as they have conflicting shifts - The employee has already been rostered on another shift that overlaps this shift.

    • If you'd rather they worked this shift, remove them from the other one first, then assign them here.

This stint has exceeded the maximum stint duration

This warning means the employee is rostered to work a longer stint than the Maximum Stint Duration you've set in your Rostering Settings. Check you're happy that the setting reflects your preferences. If you make a change to that setting, you'll need to open and save the affected shift(s) in order for the warning(s) for that employee to be reassessed.

Keep in mind that a stint can be made up of more than one shift which may have been rostered back-to-back or a few hours apart (depending on your other rostering settings), so when reviewing this type of warning make sure you check whether the employee has been rostered on for multiple shifts in a row. You can use the search bar in the top right to show all shifts for a single employee to make this easier, or head over to the Resources View.

This stint has not met the minimum stint break duration

This warning means the employee is rostered to work two shifts which are closer together than you would usually prefer two separate stints to be (as defined by the Minimum Stint Break Duration in your Rostering Settings) but are far enough apart that they can't be considered a single stint (based on your Stint Gap Tolerance).

Check that you're happy that these settings reflects your preferences. If you make a change to either setting, you'll need to open and save the affected shift(s) in order for the warning(s) for that employee to be reassessed.
