If you’re just getting started with Droppah, haven't created your employees yet, and already use Xero Payroll, good news, you can save time by pulling your employee data straight into Droppah. All it takes is a quick setup.
Here’s what to check first and how to connect things up.
Xero Payroll Pay Calendar
Make sure every employee you plan to roster is in the same weekly pay calendar in your Xero Payroll account. This is essential for Droppah to bring your staff across correctly.

Next steps: connect and sync your existing Xero account with Droppah
Log in to Droppah at app.droppah.com (or sign up if you haven’t yet).
Head to Settings → Integrations.
Next to Xero Payroll, Select Connect.
Authorise Droppah to access your Xero organisation.
Back in Droppah, hit Sync.
When prompted, choose the weekly pay calendar in Xero that includes the staff you’ll be rostering. Your employees will now appear in Droppah.
Droppah Setup
To get you roster ready, there are a couple of things to set up in Droppah
Teams
Go to Manage → Teams.
Open your team
then click + People → Select all → Add Selected People.
Save the team
Work Groups
Work Groups are what your people actually do. Think: barista, front of house, chef, back of house, whatever makes your business tick.
For each of your Work Groups, do the following:
Add all the people who could do this work, not just those where this is their main gig. That way, you’ve got max flexibility when it’s time to roster.
Link your Work Group to the appropriate Pay Item in Xero Payroll, so that Droppah knows which Pay Item the timesheet hours should be allocated to.
Shifts
Set up shifts to map out the usual start and finish times your team works. These act as the building blocks you’ll use each week to create your roster.
Invite Employees
Invite your staff via the people tab, so they can download the Employee Mobile App to view their shifts and request time off.
Build and Publish Your Roster
Head to the Roster tab in the Calendar, pick the week you want to build, and start slotting in shifts.
Happy with how it looks? Hit Publish to send it out into the world. Staff get notified via email (or the mobile app if they’ve been invited)
