Swapping Shifts with Cover Requests

Got a shift you can’t work? No stress. Use Cover Requests in the Mobile App to see if another employee can take it off your hands.

You'll need access to the mobile app to submit or receive cover requests. If you don't have login access for the mobile app, check in with your Droppah administrator. You can learn more about the mobile app here: Employee Mobile App

Sending Cover Requests

To send a cover request, navigate to the My Shifts tab and tap the shift you'd like cover for. On the shift details page, tap Request cover.

A list will appear showing team members who could be eligible to cover your shift. You can also search by name. This will be co-workers who also use the app, are available for those shift times, and are set up to work that type of shift. If anyone you expect to see is missing, check with a manager or administrator.

You can add an optional message letting them know why you need cover. Keep in mind your co-worker can decline the request, and managers may also see your note. Tap Send to submit.

Once sent, the cover request will show as Pending approval. You can cancel it at any time by tapping Cancel cover request.

You'll receive in-app notifications each time the status of your request is updated:

Responding to Cover Requests

If a co-worker has asked you to cover their shift, you'll receive a notification by email, as well as a push notification from the Droppah app (if enabled).

You can respond to the request by tapping the 'Respond to Cover Request' button in the email, or by tapping on the app notification.

In the screen that appears, add a note to let your co-worker know a little bit about your response (note that your manager may also see this), then choose your response - you can Accept or Decline the request.

If you accept the cover request (and your manager approves it, if required), you'll see an in-app notification, and your roster for the week will be automatically updated to include the new shift.

While a cover request is pending, you'll both see the shift in the Droppah mobile app. A solid line around the shift means the shift is still yours and the cover request is waiting on a response. A dashed line means you've been asked to cover that shift.

Approving Cover Requests (for Managers & Administrators)

If your account has the 'Requires Approval' setting turned on (learn more here: Company Settings - Cover Requests), any accepted cover requests will require approval before they're fully confirmed.

Once the co-worker accepts the cover request, Team Managers on the team will be notified by email and push notification. If no Team Managers are found on the team, the email notification will be sent to any Admins in the Droppah account instead.

Click the 'Respond to Cover Request' button to approve or decline the request, and you'll be taken to the following window:

Add a note for the employees involved to see in the 'Respond...' field (if you want!), then approve or decline the cover request. Both employees will be notified of your response via the mobile app, and if you approve the request then the roster will be automatically updated.

How do I access the mobile app?

Why isn't the Request Cover button appearing on a shift?

The Request Cover button will only appear if your administrator has enabled cover requests, and the shift you'd like to request cover for is in the future.

What happens when the request is approved (or declined)?

If the cover request is accepted and approved, you'll see notifications in app and your roster will be automatically updated. You can tap the notification to see any notes from your co-worker or manager.
