Creating Rosters with Droppah

The Roster View in the Calendar is where you build each team's roster. If this is your first one, this article takes you through it from the start.

You build a roster by adding people to it, day by day, using the + button. Once you've got a roster you're happy with, Droppah gives you faster ways to build future weeks, covered further down.

Build your first roster

Everything starts from the Roster View. If your company has more than one team, use the drop-down in the top right to pick the team you're rostering for.

Click the + button on the first day of your roster period to start adding people. You can change anything later, so nothing here is locked in.


Add a person

Add Person puts someone on the roster with a shift you set for them, with its own start time, end time, and break.

  1. Click Add Person and select the person you want to add.

  2. Choose the Work Group you're rostering them on for.

  3. In the pop-up, set the start and end time, and the unpaid break duration if there is one.

You can only pick from people available that day, and from the Work Groups that apply to the person you selected.

Add a shift (optional)

If you use named Shifts, Add Shift lets you drop one onto the roster as a starting point, which saves time when the same shift comes up regularly.

  1. Click Add Shift and select the shift you want. You can only choose Shifts that haven't already been added to that day.

  2. Once the shift is on the day, click the + on it to add the Work Groups needed for the shift.

  3. After choosing a Work Group, select the person or people for that shift.


Faster ways to roster next time

Once you've got a roster you're happy with, you don't need to build from scratch again. You'll find more options in the three-dots menu in the top right corner of the roster.

Copy Roster

Copy roster copies a previous week's roster into your upcoming period, so you can adjust from there instead of starting over. It's the fastest option once you've got a roster you like, and what most teams use week to week.

Smart Roster

Smart Roster auto-fills a whole week from a Roster Plan you've built, then fills in the rest of your staff based on availability and your settings. It's a good fit when your week looks broadly the same most of the time.

It only appears once you've set up at least one Roster Plan.

Review unfilled shifts

After loading a Smart Roster or copying last week's roster, you can review any unfilled shifts straight from the roster page. Days with unfilled shifts show a yellow status icon, and each shift shows how many people are still needed.

Edit and adjust your roster

You can change your roster from either the Roster View or the Resources View.

To add or remove staff from a shift, click the shift in the Roster View. Click the x on a rostered person to remove them, or the + on an available person to add them. In this example, selecting the Prep Work Group for Friday's Lunch shift lets us remove Tahlia or add others to Prep for that shift.

You can also add additional Work Groups to the shift, or click the pencil icon to edit the employee's shift start, end and break times.

To update just one employee's shift details, click their name on the shift.

For more detailed edits, or to add a one-off shift, switch to the Resources View.

Publish your roster

When you're happy with your roster, the last step is to publish it so your team can see it.

Review cost and coverage

The daily summary displayed at the top of your roster allows you to view estimated or actual revenue and labour costs. You can also switch this view to show coverage and cost graphs for each day by toggling on or off the Daily Chart setting seen here:

Daily Summary

If you've set budgets for your team or entered past revenue, the Daily Summary will show the roster cost, your expected or actual revenue, and the labour cost percentage for each day. Learn more here: Revenue & Labour Costs

Daily Chart

If you've enabled the Daily Chart toggle, you can click on a graph for a particular day to see more detail. Here you can hover your mouse or tap on a particular hour of the day to see total staff rostered and hourly cost for that period. You can also click Compare Dates in the bottom left to choose another date to compare to.
