Clocking in with Droppah

Droppah's photo Time Clock App ensures your employees' hours are recorded to the minute.

On the Time Clocks tab, employees can clock in, and you can quickly see all employees who are currently clocked in.

Clocking In

To clock in, an employee can simply tap the purple Clock In button in the top left and select their name from the list displayed.

The employee will then be prompted to take a photo of themselves to clock in. A preview of the photo will be displayed, with the option of retaking another or using the existing photo.

If the employee clocks in early to a shift where the Work Group has Strict Start enabled, their clock in time will be snapped to the rostered start time rather than recorded as their actual clock-in time.

While an employee is clocked in, you can tap their icon on the Time Clock tab to view the details for their current shift. This page also allows them to add notes to their shift as needed by clicking '+ Note'.

Taking a Break

When an employee goes on an unpaid break, such as lunch, they can tap on their photo from the Time Clock tab and press the Start Break pause button.

Employees on breaks will display at the start of the list of clocked in employees, with a yellow play icon over their image.

Once their break is finished, the employee can simply tap on themselves to clock back in. This will log their unpaid break against the total time clocked in.

If an employee doesn't log a break during their shift, the Default Break Duration from the Shift they're rostered for will be used instead.

Important: If your company has enabled Paid Breaks functionality, then the break function should be used to record all breaks, not just unpaid breaks.

Clocking Out

Employees currently clocked in will be shown on the Time Clocks page. To clock out, the employee can tap on their name/photo and tap the red Clock Out button.

This will prompt them to take another photo to finalise the time entry. After the photo has been taken, a confirmation window will appear showing the details of the time worked. If the employee has been invited to use Droppah, the option to email the photos to them will also appear. If the option is selected when tapping Done, an email containing the photos will be sent to the email address used to log in to the Employee Mobile App.

If the employee clocks out late to a shift where the Work Group has Strict End enabled, their clock in time will be snapped to the rostered end time rather than recorded as their actual clock out time.

After opening the email, clicking Save your snaps will save the collage to the browser's download location.

Frequently Asked Questions

How can I change which employees appear to clock in?

The employees who are available to clock in can be adjusted depending on which Team is selected.

  • If you only have access to one Team, all employees from that Team will be able to clock in.

  • If you have access to multiple Teams and have 'All Teams' selected in the top right, all employees from any Teams you have access to will be able to clock in.

  • If you have access to multiple Teams and have a specific team selected in the top right, only the employees who belong to that Team will be able to clock in.

If any employees aren't appearing at all, head to the People tab on app.droppah.com and ensure they:

  • Have been added to the right Team(s)

  • Have been assigned the appropriate Work Group(s)

  • Have the correct Employment Start Date set

Once all those details are correct, they should appear on the Time Clock as expected - note that you may need to refresh the page for them to appear.

Why are some employees prompted to select a Team when they clock in?

If you have access to multiple teams and have 'All Teams' selected in the top right, employees who belong to any of your Teams will be able to clock in. If any of those employees belong to multiple Teams (for example, an employee who works in multiple departments or locations), they'll be prompted to select which Team they're clocking into.

Which Work Group will the clock entry use?

When the employee first clocks in, Droppah will look for any roster entries which:

  • Are rostered for the Team the employee has clocked into, and

  • Start in the next hour, or

  • Started at any time earlier in the day.

If a roster entry is found, the Work Group from that rostered shift will be used.

If there are no rostered shifts meeting the above criteria, the Default Work Group from the Team the employee is clocked into will apply, provided the employee has that Work Group.

In either case, once the employee is clocked in, they can select the drop-down menu if they need to select a different Work Group for the shift.

What do I do if an employee doesn't clock in?

What do I do if an employee forgets to clock out?

If an employee forgets to clock out for the day, you can simply head to the 'Clock In' tab and clock them out manually using the red 'clock out' button. You can then edit the end time from the Calendar tab.

What do I do if an employee clocks in/out at the wrong time?

If an employee clocked in late, forgot to record their break or made any other errors when recording their time for the day, you can edit any of the details for the time entry by heading to the calendar and clicking on the time entry via either the Resources View or Timesheet View on app.droppah.com, In the pop-up that appears make the necessary changes then click Save.
