When you load rosters with Droppah, you may see roster warnings in cases where some employees or shifts weren't able to meet all of your preferred settings.
When you first load your roster a summary of any warnings that are generated will appear in a list at the bottom of the roster confirmation screen, as seen here:
You'll also see a warning icon on each shift the warning(s) apply to, and you can click into a shift for more details about the warning. See below for further information about different types of warnings.
Once you've reviewed a warning, it's up to you whether you're happy to leave the shift as is, or whether you'd like to adjust the roster to better suit your preferences. To adjust the shift simply click into the shift heading, then add someone new from the Available People on the left, then click the X to remove the person you wish to take off of the shift.
Warnings
Click the buttons below to learn more about each of the different roster warnings that may appear.
This warning means the employee has been rostered on for shifts that will exceed the Max Hours Per Week setting that has been applied to their record.
It's a good idea to ensure the max hours setting is set correctly for each of your employees via the People tab. Note that if you update this setting for any employees who are displaying this warning in the roster, you can open and Save one of their roster entries and Droppah will reassess the warnings for that employee.
This warning means that someone who has been set as the preferred person in your Roster Plan was unable to be added to the shift.
When you view this warning, an additional line of information will be displayed providing extra detail about what prevented your preferred person from being scheduled:
- Person is not available as they are archived - The employee has been archived since they were originally set as the preferred person for this shift.
- If the employee is no longer in use, it's best to remove them from your roster plan, so that this warning will no longer appear in future.
- If the employee has been archived in error, you can restore them via the People tab. You can then manually add the preferred person to the shift, and remove the person who was rostered in their place.
- Person is not available as they do not belong to this team - The employee hasn't been added to the Team you've loaded the roster for.
- Ensure you've loaded the roster for the correct team.
- If the employee needs to be added to the team, you can do so via Manage > Teams or via their record in the People tab. You can then manually add the preferred person to the shift, and remove the person who was rostered in their place.
- If it's correct that the employee is no longer in that team, it's best to remove them as the preferred person from any roster plans for that team, so that this warning will no longer appear in future.
- Person is not available as their employment has not started - The shift falls prior to the employee's Employment Start Date, so the preferred employee can't be rostered.
- You can check the employee's Employment Start Date on their record via the People tab.
- If their start date was incorrect, you can now manually add the preferred person to the shift, and remove the person who was rostered in their place.
- If the employee simply hasn't started yet (i.e. the start date is correct) then warning can be ignored.
- Person is not available as they do not have this work group - The employee no longer has the Work Group they've been set as preferred for.
- If the employee needs to have the work group re-added, you can do so via Manage > Work Groups or via their record in the People tab. You can then manually add the preferred person to the shift, and remove the person who was rostered in their place.
- If it's correct that the employee no longer has that work group assigned, it's best to remove them as the preferred person for that work group in your roster plan, so that this warning will no longer appear in future.
- Person is not available as the shift conflicts with their weekly availability - The preferred person wasn't able to be rostered as their Weekly Availability settings in their record indicate that they are unavailable at that time.
- Ensure their Weekly Availability is set correctly via the People tab.
- If you make any changes to their availability, you can then manually add the preferred person to the shift, and remove the person who was rostered in their place.
- If their Weekly Availability is correct, it's best to remove them as the preferred person for that shift in your roster plan, so that this warning will no longer appear in future.
- Person is not available as the shift conflicts with their unavailable dates - The preferred person wasn't able to be rostered as they have Time Off scheduled at that time.
- You can ensure their time off dates are set correctly via their record in the People tab.
- If you make any changes to their time off dates, you can then manually add the preferred person to the shift, and remove the person who was rostered in their place.
- Person is not available as they have conflicting shifts - The employee has already been rostered on another shift that overlaps this shift.
- If you would prefer to roster them on this shift, remove them from the other shift first.
This warning means the employee is rostered to work a longer stint than the Maximum Stint Duration you've set in your Rostering Settings. Check you're happy that the setting reflects your preferences. If you make a change to that setting, you'll need to open and save the affected shift(s) in order for the warning(s) for that employee to be reassessed.
Keep in mind that a stint can be made up of more than one shift which may have been rostered back-to-back or a few hours apart (depending on your other rostering settings), so when reviewing this type of warning make sure you check whether the employee has been rostered on for multiple shifts in a row. You can use the search bar in the top right to show all shifts for a single employee to make this easier, or head over to the Resources View.
This warning means the employee is rostered to work two shifts which are closer together than you would usually prefer two separate stints to be (as defined by the Minimum Stint Break Duration in your Rostering Settings) but are far enough apart that they can't be considered a single stint (based on your Stint Gap Tolerance).
Check that you're happy that these settings reflects your preferences. If you make a change to either setting, you'll need to open and save the affected shift(s) in order for the warning(s) for that employee to be reassessed.
