Droppah integrates with Xero Payroll, online payroll software for Australian businesses.
When Droppah is integrated with Xero Payroll you can send timesheets for each employee through to Xero Payroll to manage Australian payroll processing.
Follow each of the steps below to complete the setup of your integration with Xero Payroll:
- Integrate with Xero Payroll
- Set a Pay Calendar
- Sync Employees
- Set Up Work Groups
- Set Up Overtime
- Send Time to Xero Payroll
Integrate with Xero Payroll
To integrate with Xero Payroll, ensure your country is set to Australia in your Company Settings, then go to Settings > Integrations. Select Xero Payroll and press Connect.
A pop-up will open, prompting you to enter your Xero Payroll login details - ensure you're an administrator in Xero Payroll and enter your details.
Follow the prompts to allow access to the appropriate Xero Payroll account.
Once connected you'll be returned to the Integrations page - if the integration is correctly synced, you will see a purple dot on the Integrations page for Xero Payroll.
Set a Pay Calendar
The first time you click Sync on the Xero Payroll integration (after connecting), you'll be prompted to select which Pay Calendar you wish to send timesheets for.
This must be a Weekly calendar, and only employees included in this Pay Calendar will be linked to your Droppah people going forward.
If you wish to set or edit the Pay Calendar later, you can do so from your Company Settings.
Sync Employees
Once you've integrated with Xero Payroll, you can click Sync on the Xero Payroll integration at any time to create your Xero employees in Droppah, or match them up to your existing Droppah employees.
Alternatively, you can select Link Xero Employees from the People tab.
Any Xero employees who already exist in Droppah will be automatically matched up, provided they:
- Are in your nominated Pay Calendar in Xero Payroll
- Have a matching email address between Droppah and Xero
If a matching employee isn't found in Droppah, a new employee record will be created instead.
If you would prefer to manually link employees rather than relying on name matches, you can do so using the Xero Employee dropdown on your people in Droppah, instead of syncing the integration:
Once synced to Droppah, each person should have their settings reviewed to ensure they're ready for rostering. In particular, ensure you:
- Add them to a Team, if this hasn't already been set via PayHero
- Add the appropriate Work Groups to the person
- Update their Max Hours Per Week, if applicable
- Set their Week Availability, if applicable
Set Up Work Groups
You'll need to link each of your Work Groups in Droppah to the appropriate Pay Item in Xero Payroll so that Droppah know which Pay Item the timesheet hours should be allocated to.
You can do so under Manage > Work Groups, using the Xero Pay Item dropdown available within each of your Work Groups:
Set Up Overtime
To send overtime to Xero, you'll first need to set up your overtime rules via Manage > Overtime Rulesets. You can learn more about setting up overtime rules here: Overtime Rulesets
When setting up each rule within a ruleset, make sure the Xero Pay Item is set correctly, as seen here:
If the Xero Pay Item field is not selected on an overtime rule, the pay item set on the Work Group will be used instead.
Note that it's not currently possible to send allowances to Xero, so these will need to be added to your payroll manually.
Send Time to Xero Payroll
