Droppah integrates with PayHero, online payroll software for New Zealand businesses. PayHero allows you to easily pay employees and automatically send payroll transactions to Xero.
When Droppah is integrated with PayHero your employees, work groups and teams can be synced from PayHero to Droppah, and you can send timesheets for each employee through to PayHero to manage NZ payroll processing.
You can find a handy guide on things to check before and after integrating with PayHero here: Migrating to Droppah from PayHero
Integrating with PayHero
To integrate with PayHero, head to Settings > Integrations. Select PayHero and press Connect.
A pop-up will open, prompting you to sign in to PayHero - ensure you're an administrator in PayHero and enter your login details.
Once connected, you'll be returned to the Integrations page where you'll have some additional options:
By default, Sync all teams will be selected meaning all employees will be synced from PayHero to Droppah when you click Save.
Alternatively, if there are any employees who shouldn't be synced from PayHero you can tick Skip team and select a team - learn more in our 'Can I prevent certain employees from syncing to Droppah?' FAQ below.
Syncing with PayHero
Once you've integrated with PayHero you can click Sync on the PayHero integration at any time to sync your employees, teams and work.
Alternatively, you can select Sync PayHero Employees from the People tab.
It's also a good idea to sync before loading each roster, or if any of the following applies:
- You have new employees who have been added to PayHero and need to be created in Droppah
- You have approved leave requests in PayHero to bring through to Droppah
- You have employees whose pay rates have changed
Once synced to Droppah, each person should have their settings reviewed to ensure they're ready for rostering. In particular, ensure you:
- Add them to a Team, if this hasn't already been set via PayHero
- Add the appropriate Work Groups to the person
- Update their Max Hours Per Week, if applicable
- Set their Week Availability, if applicable
Frequently Asked Questions
When you sync with PayHero we'll sync the following records:
People
We'll find any new employees in PayHero and check Droppah for any people with a matching email address (or matching name if no email matches are found or multiple employees have the email), and Droppah will automatically connect their records. If we don't find a match, we'll set them up for you.
Alternatively, you can use the PayHero Employee menu to assign a PayHero record instead of ticking Create Employees. This approach gives you more control over the connections, in cases where you'd prefer to set them up yourself. The next time you sync with PayHero, the employee's details will flow through.
Once connected, you'll be able to see the PayHero icon under People.
Their PayHero Teams and any Work associated with those Teams will also be synced to Droppah as Teams & Work Groups (see below). Any finished employees will also be Archived in Droppah if their Finish Date is in the past at the time of the sync.
PayHero employees will have the following details brought through from PayHero each time you sync, which means these details should all be managed in PayHero and then synced to Droppah:
PayHero | Droppah |
Name (First & Last) | Name (First & Last) |
Display Name | Display Name |
Phone | Phone |
Address | Address |
Start Date | Employment Start Date |
Normal Rate | Pay Rate |
Approved Leave Requests | Time Off |
Finish Date (if the date is in the past) | Archived |
Teams
Each time you sync your employees, any PayHero teams they belong to will be synced to your Droppah Teams, with the following details brought through:
PayHero | Droppah |
Team Name | Team Name |
Default Work | Default Work Group |
Team Members | People |
Removing an employee from a Team in PayHero doesn't have any impact on Droppah - the employee would need to be removed from the Team in Droppah separately if desired.
Work Groups
Any PayHero work included in your employees' PayHero teams will be synced to Droppah, creating Work Groups, with the following details brought through from PayHero each time you sync:
PayHero | Droppah |
Work Name | Work Group Name |
Work Colour | Work Group Colour |
Use Strict Clock Times | Strict Start / Strict End* |
PayHero Work |
*This setting is only set when a Work Group is first created via the integration - it won't be updated on subsequent syncs.
You can find information on sending timesheets to PayHero for payroll processing here: Approving Time for Payroll
Yes, if there are certain employees in your PayHero account who shouldn't be synced to Droppah, you'll just need to ensure they're all added to a single team in PayHero.
When you connect the integration you can then tick Skip team and select the team that should be excluded from your syncs.
Any employees who are included in this team in Payhero will never be synced to Droppah, even if they also belong to other teams.
Yes! If you have multiple different legal entities which require you to have multiple PayHero accounts, you can connect your Droppah account to additional PayHero accounts.
Under Settings > Integrations, simply select +Add company after connecting your first PayHero account:
When your Droppah account is connected to multiple PayHero accounts, there are a few changes to the way the integration will behave:
- People - Employees will still belong to a single PayHero company and their settings will flow through from the PayHero account they've been created from as they usually do. If an employee has hours for multiple companies, all time they should be paid for will be sent to the PayHero account they're paid from.
-
Teams - Under Manage > Teams in Droppah, you'll be able to see which Teams are connected to which PayHero company. Employees who can work for other companies should be added into any Teams they can be rostered for in Droppah.
- Work Groups/Time - When Approving Time for Payroll, Droppah will send time to the employee's PayHero company based solely on the name of the Work Group in Droppah matching the name of a Work in PayHero.
