When managing your employee list in Droppah, you may need to remove staff who no longer work with your organisation. There are two ways to do this: archiving or permanently deleting an employee. This guide explains the difference between the two options and provides step-by-step instructions for each.
Understanding the Difference
Archive
Archiving is the first step when an employee leaves your organisation. Archived employees are no longer active in Droppah, but their details are kept on file, allowing you to access their past information if needed.
You can restore an archived employee at any time if they return or were archived by mistake.
Please note: If the employee you want to archive has access to the Employee Mobile App, you’ll need to remove their access before you can archive them.
Permanently Delete
Deleting permanently removes an employee and all associated data from Droppah. This action cannot be undone. Only Admins can permanently delete employees, and an employee must already be archived before they can be deleted.
Please note: You cannot delete an employee if they still have any shifts or time in Droppah.

Please Note: If the person you are deleting has any shifts or time entries, you will be prevented from deleting them. You must remove all their shifts and time entries before proceeding.
Follow the prompts to confirm by typing the employee’s name, then click Delete.
Once deleted, the employee’s record and all associated data will be permanently removed from Droppah.
Please note: Once an Employee is deleted, this cannot be undone
Frequently Asked Questions
Do I have to pay for archived employees?
Do I have to pay for archived employees?
You only pay for employees who were included in a roster or timesheet during the month. Once a person is archived, they are no longer available for rostering or timesheets so you won't be charged for them in future months.
If you're on Droppah's Free Plan, archived employees count towards the 10-person limit.
Can I get a person back after they have been deleted?
Can I get a person back after they have been deleted?
No, once an employee is deleted, they are permanently deleted, and their data is not recoverable.
How do I remove rosters and time entries so I can delete a person?
How do I remove rosters and time entries so I can delete a person?
People with historic data shouldn't be deleted from Droppah; it is important to retain complete historic records. If you have test or duplicate users to clean up, you'll need to remove their roster shifts and timesheets manually one at a time. Rosters can be deleted from the Resources tab, and Time Entries from the Timesheets tab.
