In Droppah, People are your employees who will be included in rosters. The People tab in the sidebar is where you can add and view your employees.
Click the New Person button to create a new employee, Quick Add to add multiple employees at once, or click into an existing person to edit them.
Note that if you're using a payroll integration your employees can be synced to Droppah from your payroll system instead.
Quick Add
You can click Quick Add to add multiple employees in a jiffy. A pop-up will appear, which only requires the name and an optional email address for each employee you want to add.
If you've specified email addresses for anyone, you can tick Send invites to Droppah Mobile if you'd like your new employees to access the Employee Mobile App.
Click Done to add your employees and send out invites, if applicable.
Employees created through the Quick Add function will be automatically added to the first Team found in Droppah, so if you have only one Team you're ready to start rostering your employees from the Resources View. Alternatively, you can click into each employee to edit their details as needed.
Add/Edit Person
When you click New Person or edit an existing person, you can enter and manage their basic details.
The personal information you can manage on the left side of the page for each employee includes:
Name - The employee's first and last name
Display Name - The preferred name for the employee that you'd like to display throughout Droppah.
Phone - The employee's contact phone number. This is just for your records.
Email - The employee's preferred email address for receiving roster notifications.
Address - The employee's residential address. This is just for your records.
Login Access - Allows you to invite your employee to use the Employee Mobile App, or remove access and send password resets for employees who already have access. Learn more here: Inviting Employees to Droppah
Employment Start Date - Ensures employees aren't rostered or displayed on the time clock before their start date.
Pay Grade - If you've set up pay grades for your company you can select the employee's pay grade here. Learn more here: Pay Grades
Pay Rate - The employee's pay rate per hour. This will be used for providing accurate costing throughout Droppah and assessing which employees fit into your priorities for a roster based on the cost of assigning them to a shift. If the employee's pay rate is being specified by a Pay Grade it will be greyed out but can be overridden if required.
Max Hours Per Week - Ensures Droppah will try to avoid rostering your employees for more than their preferred hours per week.
On the right side of the page you can also manage the employee's availability and the team(s) and work group(s) they're able to be rostered onto.
Work Groups
Once you've set up Work Groups you can click + Work Groups to add them to your employee as required.
On each Work Group, you can apply a Rating out of 5 stars which will be used when creating rosters which are optimised for high employee ratings, or click the pencil to edit their hours of Experience at the Work Group which will be used when optimising for experience. Hours of experience will also increase automatically as employees clock in and out with Droppah.
Weekly Availability
To set your employee's Weekly Availability, you can simply toggle the purple ticks under each day into red crosses, or for more detail click Edit Weekly Availability. In the Weekly Availability option list, you can also set part-day availability if your employees are only available for certain shifts or working hours each day.
When adjusting availability for a particular day, make sure that it is set within the same 24-hour period and note that the Available To setting can be no later than 11:59 pm for a given day.
Time Off
If your employee has any upcoming time off, you can add it by clicking '+ Time Off'. This will stop your employees from being rostered when they're away on leave or otherwise unavailable.
Employees can also request time off via the Employee Mobile App.
Learn more here: Requesting Time Off
Managing Access and Archiving Employees
The menu button in the top right will show different options depending on whether the employee has access to Droppah. If not, you can either send an invite or archive the record if it's not in use.
Once an invite has been sent, you can cancel it at any time before the employee accepts it.
When the employee has accepted the invite, you can either remove their access or send them a password reset email. If you wish to archive an employee who has active user access, you'll need to remove their access first.
